Victim Assist Queensland

Victim Assist Queensland (Victim Assist) works within a trauma informed framework to help victims to recover. Victim Assist provides assistance to victims of violent crime (including all forms of domestic and family violence) in accordance with the Victims of Crime Assistance Act 2009 (VOCAA).

The Business Support Officer will be responsible for supporting the operations of the Corporate Support team by undertaking the efficient and accurate delivery of financial, Human Resource and business processes.

This role will work collaboratively within the Corporate Support Team and will report directly to the Business Manager.

Your key responsibilities

  • Organisation and ongoing management of VAQ's eDOCS file paths, ensuring compliance with the General Retention and Disposal Schedule (GRDS).
  • Provide high-level secretarial support to the Executive Director and Directors, assisting with administrative tasks, scheduling, and correspondence to facilitate smooth operations as required.
  • Facilitate prompt invoices as required through SAP, maintaining accurate records and managing financial documentation to ensure transparency and compliance with organisational policies and procedures.
  • Maintain the cabcharge register, record-keeping and issuance of cabcharge vouchers, and processing monthly invoice statements.
  • Effectively manage VAQ assets, conducting regular asset stocktakes as necessary, and ensuring that asset registers are consistently updated and accurate to facilitate efficient asset management.
  • Maintain a comprehensive register for mobile phones/telephones and SIM cards, including the completion of telephone statements as required, to ensure efficient management and monitoring of telecommunication assets.
  • Reconcile fortnightly workforce reports ensuring accuracy and complete financial and HR forms as required.
  • Maintain the WHS register for First Aid Officers and Fire Wardens and assist with HSW audits.
  • Perform additional duties as assigned by the Business Manager.
