In this role you will provide support to the District Office and perform finance, human resource and administrative functions for the region.

The primary accountabilities of the Business Support Officer include:

  • Prepare a range of human resource documentation including monthly leave and establishment reports by reconciling employee time sheets and leave forms in line with audit requirements
  • Identify discrepancies in the establishment report and advise administration staff to reconcile
  • Orientation of new staff and provide advice and assistance with commencement paperwork
  • Assist transferring staff with a relocation plan
  • Provide support and advice to Regional Manager, Manager Regional Services and other team members including diary management and verification of travel claims
  • Participate in rehabilitation and Workplace Health and Safety initiatives as required
  • Undertake procurement and financial processing duties and corporate card reconciliation
  • Identify variances in payroll and transaction listings and advise administration staff to journal incorrect entries
  • Prepare end of month and end of year financial statement
  • Collate cash flow information from district offices for approval by the Regional Manager
  • Assist in the preparation of budget estimates and monitor expenditure reports, cost centre reports and transaction listing
  • Prepare reports on offender numbers, types of orders, results of drug tests and suspensions
  • Prepare yearly capital works submissions, maintain an accurate fixed register and carry out stock takes
  • Examine and register incoming and outgoing correspondence refer to departmental style guidelines for formatting and grammatical errors and amend where necessary
  • Assist with the preparation of audit reports, briefs, memorandums, submissions and executive and ministerial correspondence
  • Manage QFleet including reconcile vehicle log books, monitoring vehicle maintenance and order fuel cars and new vehicles.

The role description provides the minimum requirements for the role. The incumbent may be required to undertake other duties as required outside of these primary accountabilities.
