Senior Administration Officer

We are seeking a dynamic Senior Administration Officer on a permanent full-time basis to contribute to the achievement of our core business objectives within the Arts Policy and Programs division and busy Investment team. On a daily basis you will be working closely with the Director - Investment and team members, in addition to other team members across the agency to progress high level correspondence using an electronic document management system, demonstrating a sound understanding of the context of the work being undertaken with the arts sector in order to effectively risk manage issues arising from correspondence progression, and briefing up to management level on key information. We are looking for a committed administration professional who is able to quickly get across the nature of our business and consistently deliver on key duties in a timely, accurate and efficient manner.

Duties –

  •  Ensure the provision of a high standard executive support function to the Executive Director, Policy and Programs including diary management and associated activities, coordination and control of meetings, agenda, minutes and Ministerial responses
  •  Be responsible for the provision of administrative support to the Policy and Programs work units including –
    •  Coordination of staff travel arrangements
    • Assessment and prioritisation of incoming correspondence, emails and telephone enquiries and ensuring follow up action to ensure departmental requirements are met\
    • Implement and maintain accountability systems such as management of financial controls (credit card reconciliations, accounts payable for the work area) and registers as required.
  • Liaison and maintenance of positive relationships with key clients and internal/external stakeholders including communication with senior officers, industry representatives and members of the public using your knowledge of the arts and cultural sector.
  • Development of systems and processes to ensure the professional management of the team.
  • Complete routine and more complex administrative tasks to comply with public sector legislation, standards, policies, practices and procedures relating to human, financial and physical resources.
  • Manage relationships and liaise with senior management, departmental staff and other public and private sector agencies (including those within the arts and cultural sector) in order to collect or impart information and arrange meetings
  • Coordinate and control the recording of correspondence, and maintain a confidential filing system and Records Management systems

This role reports to the Director – Investment
