Duties –
This role coordinates and monitors the operations Arts Business Services Unit. The role also performs a range of financial and administration activities including the, processing of financial transactions and purchasing activities. You will be the first point of contact for operational issues.
Key responsibilities -
- Supervising the day to day operational service delivery of a small team of Arts Business Services Officers including managing the preparation of rosters, monitoring team workloads for even distribution and processing, and organisation of relief where appropriate.
- Managing the day to day financial transactions and processes for Arts Queensland including accounts payable and receivable, including the –
- Entering of data into the finance system, ensuring accuracy and timeliness.
- Compliance checking of purchasing and payment functions, including FBT and GST reporting.
- Monitoring the interface between the finance and grants system for all grants payments.
- Managing governance processes relating to Arts Queensland's corporate cards, including reviewing transactions for compliance and fraud prevention, reviewing and monitoring best practice, providing training to new cardholders and administrators and monthly reporting for Audit purposes.
- Preparing correspondence, reconciliations, journals and reports for Arts Business Services using applications such as Microsoft Excel, Word, Access Database or other financial management software.
- Providing high level client service and acting as the first point of contact for issues escalation in relation to a range of operational issues, financial management policies, procedures, standards and systems.
- Providing direct assistance to senior management regarding Arts Queensland internal budget reporting and the administration of ad hoc and corporate reporting; including the researching and analysis of revenue and expenditure trends.
- Providing leadership regarding business improvement activities which will benefit Arts Queensland's ability to achieve strategic outcomes and increase operational efficiency.
