We are seeking an experienced and client-focused Events Officer to join our team in a Temporary Fixed-term, Flexible Part-time capacity (4 days per week), Preferred Days: Monday, Wednesday, Thursday and Friday from Monday 25th May 2026 to Thursday 25th June 2027, supporting the delivery of catered events across our venues. Working within the Food & Beverage Services and Events Department, this role plays a key part in coordinating catered events, managing client relationships, and contributing to the department's commercial revenue targets.

Key Duties

  • Develop and maintain professional relationships with clients to support the acquisition and successful delivery of events.
  • Coordinate all aspects of catered events, ensuring accurate documentation and effective stakeholder communication.
  • Identify and convert sales leads, referring high-value opportunities to the Events Manager with strategic recommendations.
  • Maintain comprehensive and accurate event data, including pricing and inventory, in the Gallery's event management system.
  • Monitor event payments, process invoices, and report on financial outcomes in line with Gallery procedures.
  • Support departmental projects including offering reviews, market research, and continuous improvement initiatives.
  • Represent the Gallery at industry events, as required, to build networks and generate business opportunities.
  • Contribute to a professional and collaborative team environment across the Events and F&B Services teams.

About You
We are seeking a candidate who is comfortable working in a Temporary Fixed-term, Flexible Part-time capacity (4 days per week), Preferred Days: Monday, Wednesday, Thursday and Friday from Monday 25th May 2026 to Thursday 25th June 2027, and who demonstrates:

  • A minimum of 2 years' experience in events, venue coordination, or sales.
  • Strong interpersonal and client relationship management skills.
  • Proven ability to convert enquiries into confirmed bookings.
  • Excellent attention to detail, with strong organisational and planning abilities.
  • Familiarity with event management systems (e.g., Priava or equivalent).
  • Clear, professional written and verbal communication skills.
  • A proactive, solution-focused approach to managing events and stakeholder expectations.
  • Flexibility to support after-hours and occasional weekend events, as required.
