Key outcomes/Accountabilities

The aim of this role is to provide efficient and professional project and administrative support. The Project Support Officer will:

  • Provide secretariat support for steering committees and other project groups by scheduling meetings and venues, coordinating the preparation and distribution of agendas and papers, minute taking, maintaining action registers and following up action items
  • Coordinate and organise meetings, appointments, workshops and stakeholder group meetings for and on behalf of the QBP team
  • Draft high quality correspondence including project agendas and minutes, memorandums, letters, emails, presentations and project reports ensuring attention to detail and proofing of documents
  • Identify, collect and collate information and communication needs and assist with the preparation, compilation and validation of project documentation
  • Establish, review and maintain an effective office record system to manage documents, papers, correspondence, reports and data
  • Be able to work autonomously, utilizing initiative and discretion to meet deadlines, establish work priorities and ensure project progress in the absence of direct supervision
  • Develop and maintain positive, collaborative working relationships within the team and throughout the organisation
