Administration Officer

The Queensland Curriculum and Assessment Authority (QCAA) is seeking an Administration Officer to join the Governance & Policy Unit. The Governance & Policy Unit is responsible for QCAA’s interface with the community, education stakeholders and other key groups. The Administration Officer provides a high-level secretariat support to the QCAA Board and its committees, ensuring the quality assurance of meeting papers and overall meeting management. It delivers policy advice to senior staff and feedback on QCAA legislation. Additionally, the unit coordinates critical briefs, ministerial correspondence, and submissions, while project managing sensitive reviews and stakeholder consultations. It also manages information and data requests from the public, educational institutions, and government agencies.

What you will do
In the Administration Officer role, you will:
- Coordinate and maintain effective filing and information retrieval systems, including electronic document management systems such as Content Manager.
- Provide a range of administrative support services that may include creating and sorting documents, building folders, catering, meeting room setup, diary coordination, arranging travel, completing regular reports and maintaining general office systems.
- Demonstrate existing understanding of the Queensland public sector and the way of working in an independent statutory body.
- Enter and maintain data in relevant databases such as MS SharePoint and MS List, ensuring information is accurate.
- Organise and book meeting rooms, liaise with appropriate staff on setting-up of rooms, and arrange catering for a variety of meetings.
- Assist in the planning, coordination and delivery of events.
- Maintain established office digital systems, track tasks and initiate follow-up action as necessary to ensure operational processes are completed within required timelines.
- Answer incoming telephone enquiries from a diverse range of external and internal clients in a clear, concise and polite manner.
- Coordinate communications with internal and external clients, including the preparation and checking of routine letters and other documentation.
Reporting relationships
This role reports to the Manager, Governance & Policy Unit. No roles report directly to this role.

- Experience working within a Queensland education setting is highly regarded
- Experience working within the Queensland public sector is highly regarded, including independent statutory bodies
- Experience using the electronic record management system e.g. Content Manager is highly regarded
