About the Role

As the Project Officer for our Gold Coast Infill Stations (GCIS) project, you will be responsible for providing high quality project and administrative support to the project which is being delivered as part of the Cross River Rail Project.  Reporting to the GCIS Project Director and working closely with the GCIS Project Manager, you will be a key contributor of the GCIS project team, and along with providing core project support, will contribute to ongoing good governance, effective reporting and project controls support (e.g. cost, schedule, risk).  

Key Responsibilities

  • Support the project team in coordination and tracking of tasks and activities, including designing, development and implementing effective tools and processes to enable this.
  • Assist in the management of relevant diaries and meeting support such as room bookings.
  • Secretariat and administrative support of various internal and external governance bodies.
  • Lead Request for Information process and provide assistance in document control.
  • Provide procurement and contract management support.
  • Recruitment support and administration to relevant selection panels, including booking meetings and liaising with Human Resources as required.
  • Organisational establishment administration and support (e.g. onboarding, maintaining team structure on SharePoint, etc.).
  • Prepare written correspondence including briefing notes, policies and procedures, letters and project documentation.
  • Assist the GCIS Project Managers in managing the project controls reporting process focusing on the status of time, cost, risk and quality.
  • Coordinate and contribute to risk and issues management, including updating and maintaining risk and issue registers and associated reporting.
  • Coordinate routine project reporting, by engaging across team members and relevant subject matter experts, including weekly internal project updates, monthly reporting on design and construction contractor reports, reporting to governance forums and Executive / Minister briefings.
  • Consult, liaise and negotiate with internal and external stakeholders, partners, and suppliers to deliver allocated tasks and activities.
  • Undertake research and/or identify issues and provide advice and solutions to the relevant Project Director or other team members.
  • Ensure professional and positive communication and engagement across the Delivery Authority and external stakeholders, to facilitate effective project delivery through strong working relationships
  • Contribute to developing and maintaining team culture.

About You

  • Demonstrated ability to research, design and develop tasks and activities.
  • Proven written and interpersonal skills, including the ability to build and maintain productive working relationships to communicate with internal and external stakeholders, partners and suppliers.
  • Demonstrated ability to analyse issues, establish a course of action, adopt a proactive and solution focused attitude, and work with minimum direction.
  • Demonstrated ability to balance multiple competing priorities, including change management in a project environment.
  • Experience in effectively managing difficult stakeholders
  • Experience in contributing to project controls management (budgets, schedules, risk management)
  • Ability to communicate complex topics in succinct and easy to understand formats.
  • Demonstrated ability to work individually or as a member of a team to manage conflicting priorities to deliver outputs and outcomes within a fast-paced project environment with tight deadlines.
  • Have excellent attention to detail.
  • Working tactfully and diplomatically and with the highest levels of professionalism.
