Executive Assistant

As our Executive Assistant, you will:
• Provide high level, confidential secretarial and support functions, including diary management, to the Executive.
• Maintain the highest level of confidentiality while monitoring the emails of the Executive.
• Organise meetings with staff at all levels within the Department, with other public sector agencies, as well as with external organisations and stakeholders.
• Ensure the Executive is prepared for meetings including liaising with relevant staff and stakeholders to ensure supporting papers are available.
• Contribute to a high performing work environment by working flexibly, collaborating effectively, and sharing knowledge across the business group as a valued team member of Agriculture’s corporate support staff.

About the role
As our Executive Assistant, you will:
• Provide high level, confidential secretarial and support functions, including diary management, to the Executive.
• Maintain the highest level of confidentiality while monitoring the emails of the Executive. This includes ensuring urgent requests are progressed as a priority, items requiring on-forwarding are distributed appropriately, and emails are responded to in a timely manner.
• Organise meetings with staff at all levels within the Department, with other public sector agencies, as well as with external organisations and stakeholders.
• Ensure the Executive is prepared for meetings including liaising with relevant staff and stakeholders to ensure supporting papers are available.
• Progress the flow of documentation (including correspondence), including following up on outstanding items.
• Coordinate travel and accommodation arrangements.
• Maintain effective time management practices.
• Coordinate purchasing requirements as required.
• Reconcile corporate card expenses using ExpenseMe Pro.
• Prepare travel claims using TEMS ExpenseMe Pro.
• Use discretion, autonomously redirect and respond to matters within defined boundaries.
• Support a positive culture within the office utilising strong interpersonal communication to enable the delivery of effective and timely executive support.
• Work flexibly across the broader Agriculture business group corporate support team to support the needs of the business group as required.
