Video Conferencing Coordinator


Numinbah Correctional Centre; Custodial Operations; Statewide Operations; Numinbah Valley

Southern Region Command, Custodial Operations Division is responsible for the delivery of custodial services across Queensland. People in custody are supervised in either high or low security correctional centres. High security centres provide for the management of adult prisoners held in secure custody correctional centres across Queensland.

In this role you will be responsible for maintaining an online cross criminal justice agency scheduling system and coordinating prisoners’ appearances via videoconferencing for court, legal and other purposes. The Videoconferencing Coordinator will be required to liaise directly with courts, Sentence Management, custodial staff, legal practitioners (including Legal Aid Queensland) and other stakeholders to ensure the most efficient videoconferencing outcomes on a day-to-day basis.

The primary accountabilities of the Video Conferencing Coordinator include:

  • Coordinate all VC bookings utilising the online booking system (GoBookings)
  • Communicate with court and Correctional Centre staff to minimise prisoner wait times and rescheduling of court events
  • Monitoring of the live feed of all videoconferences and communicate with courts, legal representatives, and custodial officers regarding internal prisoner movements, completions, cancellations and delays
  • Ensure sharing of information with other custodial centres, Sentence Management, courts and legal representatives regarding prisoner placement and movement/transfers
  • Monitor prisoner responses to their court outcomes where possible and communicate where necessary to custodial officers and Offender Development
  • Ensure the appropriate exchange of information with key agencies to optimise the use of resources
  • Build relationships with key stakeholders to facilitate a better information flow regarding videoconferencing activities
  • Schedule visits with local courts and other external stakeholders to maintain clear working relationships with the Judiciary, court staff and other professionals in these locations
  • Maintain agency electronic recording systems as required, collate information
  • Ensure comprehensive recording and documenting of all information collected during the videoconferencing process
  • Assist with monitoring and maintaining IOMS to ensure accurate statistics are available
  • Provide data input support for staff as required
  • Ensure the confidentiality of all documentation handled
  • Provide support to other staff on administrative issues and assist with the preparation of memorandums, reports and correspondence and human resource documentation.
