Your key responsibilities

The successful appointee will provide mail, courier and records management services within Crown Law as well as the provision of document production services for both Crown Law and the Department of Justice.

Key duties include:

Records Management

  • Provide best-practice services and advice to ensure compliance with the Public Records Act 2002 and Recordkeeping Standards.
  • Manage creation, modification, security, and closure of legal files in electronic and physical formats.
  • Prepare inactive and legacy records for archiving, off-site storage, or disposal in line with retention schedules.
  • Maintain accurate records in Crown Law's software systems.
  • Ensure proper profiling, scanning, and digitisation of documents for retention and disposal compliance.

Mail and Courier Services

  • Collect, distribute, and process incoming and outgoing mail (physical and electronic), including Express, Registered, and international post.
  • Arrange courier services, including quotes and scheduling.

Administrative and Client Support

  • Assist legal staff with filing and serving documents within Brisbane CBD.
  • Liaise professionally with internal and external clients.
  • Undertake general administrative tasks and support Business Services Supervisor as required.

Archiving and Data Management

  • Monitor file status for closure and manage archiving of legal matters.
  • Maintain Business Data Archive files as required.
  • Coordinate with storage provider for storage and retrieval of archived files.

General Duties

  • Ensure compliance with WH&S standards during manual handling.
  • Provide responsive client service aligned with Crown Law's Client Services Charter.
  • Contribute proactively as a team member and perform other duties as directed.
