Key Responsibilities:

The activies below provide some examples of the activities that could be undertaken:

  • Prepare written correspondence including, briefing notes, policies and procedures, letters and project documentation.
  • Design, develop and implement effective tools and processes for the delivery and monitoring of allocated tasks and activities as required by the project team.
  • Assist in the management of relevant diaries and meeting support such as room bookings.
  • Support the project team by developing and delivering allocated tasks and activities.
  • Provide assistance in document control such as TRIM and project delivery doc control support (as a back-up resource).
  • Provide procurement and contract management support (such as Procurement Request Forms, Project and Procurement Planning, invoice distribution and tracking)
  • Secretariat and administrative support of various internal and external Program Delivery governance bodies (including compilation and distribution of agenda papers, provision of reports, minute/note taking and follow up of issues raised).
  • Recruitment support and administration to relevant selection panels, including booking meetings and liaising with Human Resources as required.
  • Organisational establishment administration and support (e.g. onboarding, maintaining team structure on SharePoint, etc.).
  • Consult, liaise and negotiate with internal and external stakeholders, partners and suppliers to deliver allocated tasks and activities.
  • Undertake research and/or identify issues and provide advice and solutions to the relevant General Manager, Executive Director or Director.
  • Develop positive working relationships across the Delivery Authority to ensure information sharing on complex and emerging issues.

The successful candidate will be able to demonstrate the following key competencies:

  • Demonstrated ability to research, design and develop tasks and activities.
  • Proven written and interpersonal skills, including the ability to build and maintain productive working relationships to communicate with internal and external stakeholders, partners and suppliers.
  • Demonstrated ability to analyse issues, establish a course of action, adopt a proactive and solution focused attitude, and work with minimum direction.
  • Demonstrated ability to work individually or as a member of a team to manage conflicting priorities to deliver outputs and outcomes within a fast-paced project environment with tight deadlines.
