Cross River Rail Delivery Authority (CRRDA)…Your chance to work with the best!

The Cross River Rail Delivery Authority is building a new 10.2km rail line that includes 5.9km of twin tunnels running under the Brisbane River and CBD; with four new underground stations at Boggo Road, Woolloongabba, Albert Street and Roma Street.

Once complete, it will provide trains with a much-needed alternative rail path through the core of the current SEQ Rail network, unlocking a bottleneck and allowing more trains to run more often across the whole of South East Queensland.

The Cross River Rail Delivery Authority is also delivering multiple supporting projects and activities in conjunction with Department of Transport and Main Road. These include accessibility rebuilds for eight surface stations, construction of three new stations on the Gold Coast; upgrades for stabling yards; track works and surface rail enhancements; and the introduction of a new ETCS digital signalling system.

About the Role

This role provides high-level administrative and coordination support to ensure smooth operations for an executive leader. Duties include managing complex schedules, coordinating meetings and events, preparing and distributing briefing materials, maintaining action registers, overseeing document control, managing correspondence, supporting governance processes, and liaising with stakeholders to enable effective decision-making.

You will also oversee daily office operations to ensure an organised, efficient environment, and work with facilities, IT, and other teams to address office needs, system access, and logistics.

This opportunity is a 2-year fixed term contract with possible extension.

Key Responsibilities:

  • Provide high-level executive support to ensure smooth daily operations.
  • Oversee office operations for an organised, efficient environment.
  • Manage complex schedules, meetings, events, and travel.
  • Support meetings: schedule, prepare agendas, take minutes, and track actions.
  • Prepare and distribute briefing notes, reports, presentations, and documents.
  • Manage email inboxes, flagging urgent items and supporting communication.
  • Maintain organised systems for records and team information.
  • Liaise with internal and external stakeholders professionally.
  • Review and escalate correspondence and briefings as needed.
  • Assist with events, workshops, and ad-hoc research to support executive decisions.

About You:

  • Extensive experience as an Executive Assistant in complex, fast-paced settings, with a strong grasp of organisational goals, stakeholders, policies, and processes.
  • Skilled in managing day-to-day office operations to keep the office organised and efficient.
  • Exceptional organisational and time-management skills, able to handle shifting deadlines and urgent tasks.
  • Strong relationship-building skills, able to influence and negotiate with stakeholders.
  • Proactive and solutions-focused, anticipating needs and addressing challenges independently.
  • Highly proficient in correspondence, document preparation, and administrative systems, with strong attention to detail.
  • Experience in QLD government or large infrastructure projects is highly regarded.
