The Queensland Government Accommodation Office (QGAO) centrally manages the largest office property portfolio in Queensland, with approximately 1 million square metres of office space, accommodating more than 60,000 public servants and a broad range of property assets including cyclone shelters, parks, bridges and heritage buildings.

You will report to the Principal Business Support Officer, Business Services and manage a broad suite of business processes including the coordination of the administrative and operational functions of the Queensland Government Accommodation Office (QGAO).

What you will be doing:
• Operationalise QGAO's telecommunication, procurement and information technology activities, ensuring these services are effective and undertaken in compliance with departmental policy and delegations.
• Oversee QGAO's legacy Document and Records Management system (HPE Content Manager) to ensure records are maintained and official records are archived, stored and retrieved correctly.
• Coordinate QGAO's training and development activities, including reporting, budget and recordkeeping.
• Coordinate travel for QGAO including travel bookings, accommodation, vehicle hire and incidental payments.
• Manage the distribution of Business Services related information throughout QGAO ensuring staff are regularly and appropriately updated.
• Manage the engagement, onboarding and reporting of agency personnel in QGAO and support local recruitment using industry networks and coordinating local recruitment logistics as necessary.
• Maintain registration of QGAO's Contract Disclosure document, Gifts Register and On Time Payment reports to ensure compliance with legislation.
• Maintain registers of QGAO assets to ensure compliance with Asset Management policies.
• Manage the annual device replacement process to ensure QGAO have a current fleet of devices.
• Review and prepare invoices for processing in SAP.
• Assist business areas with the recruitment process for temporary or permanent government employees.
• Work closely with the Human Resource Business partner on various matters including but not limited to staff placements, agency engagements, training, employee rehabilitation, induction and separation.
• Contribute to the development of business policy and procedure that operationally supports QGAO, ensuring processes are contemporary and comply with relevant standards, policies and legislation.
• Provide advice to management and staff on records management compliance, office administration procedure and procurement requirements.
• Participate on occasions in local, divisional and departmental project teams either as a team contributor or project lead.

The skills you will need include being able to:
• Demonstrated experience in managing business support services.
• An ability to write well and experience in effectively communicating with colleagues, managers and customers on operational policy and procedure.
• Experience in overseeing records management, office telecommunication, procurement and information technology hardware.
• Demonstrated drive and commitment, an approachable friendly persona and a rack record of managing numerous activities simultaneously while achieving results.
