The role is required to contribute to the effective operation of the Assessment and Case Management Governance Unit by providing administration and support to the unit and senior staff.

In this role you will:

  • Register incoming and outgoing correspondence and undertake quality control on outgoing correspondence in accordance with department style guidelines, ensuring confidentiality at all times.
  • Assist with the preparation of briefs, memorandums, submissions, and executive and ministerial correspondence.
  • Ensure the security of files and appropriate access to the files by relevant staff and approved external agencies and undertake archiving action as required.
  • Manage the completion and submission of human resource documentation including staff appointment, staff onboarding, staff movements, reconcile timesheets, leave forms for the unit.
  • Undertake procurement and financial processing duties requiring financial reporting, purchase orders, corporate card reconciliation and monitoring of transactions.
  • Maintain facilities and equipment, including performing stock-takes and maintenance of asset register.
  • Information technology and systems site administrator functions.
  • Provide data input support for staff as required including support to maintain registers.
  • Provide meeting support for the unit including scheduling, booking conference rooms and IT resources and organise teleconferencing as well as preparing agendas, taking notes and minutes for meeting.
  • Book travel including accommodation, car hire and flights.
  • Provide administration support to the Manager and branch, including appointment diary management, answering and directing telephone calls and general office administration as advised by the Manager and/or Director.
  • Liaise with officers at all levels within both public and private sectors in relation to the unit's activities.
  • Manage own workflow by negotiating and confirming work priorities for work completion in consideration of the needs of other officers.
