Are you a driven and detail-focused admin professional looking to work closely with senior leaders in a high-impact role? Join the Department of Natural Resources and Mines, Manufacturing and Regional and Rural Development as an Executive Support Officer based at 1 William Street, Brisbane. This is a permanent full-time opportunity supporting the Office of the Executive Director, Land and Surveying Services.
About the role:
As Executive Support Officer, you'll provide high-level administrative and project support to the Executive Director and broader Land and Surveying Services (LSS) team. You'll manage executive calendars, prepare documentation, support meetings, and act as the first point of contact for ministerial correspondence and internal communications. This role will see you handling fast-moving priorities, coordinating travel and finance processes, resolving day-to-day administrative issues, and actively contributing to business improvement across the division.
Key responsibilities include:
• Providing confidential administrative support, diary management, and logistical coordination for the Executive Director and LSS senior team
• Supporting meetings and committee work through preparation of agendas, materials, catering, and documentation
• Managing incoming and outgoing ministerial correspondence and approvals, including tracking, distribution and follow-up
• Processing travel bookings, expenses, and corporate card reconciliations
• Maintaining records and systems in accordance with departmental policy
• Supporting small-scale projects or operational improvement initiatives under the direction of the Executive Officer
• Communicating clearly and professionally with internal and external stakeholders
We're looking for someone who:
• Has strong written and verbal communication skills
• Is highly organised, responsive and able to manage shifting priorities
• Demonstrates good judgement, confidentiality, and professionalism
• Has experience working in executive or high-level admin support roles
• Understands corporate systems such as SAP, Aurion, or PowerBI (desirable)
• Brings initiative, positivity, and a commitment to improving ways of working
• Holds a current C class driver's licence (desirable) and is open to occasional travel
