We are looking for a motivated and efficient individual to join our team in providing high-level secretarial and administrative support to the Executive Director and more than 100 staff within the Waste and Enforcement Services branch.
A key focus of this role is delivering professional secretarial support and managing ministerial and executive correspondence.
This dynamic position also offers the opportunity to contribute to a variety of operational functions, including financial administration, governance support, executive services, and general administrative coordination.

As the Executive Support Officer, you will: 

• Effectively manage and coordinate day-to-day appointments, taking a proactive approach to organising meetings and providing secretarial support to ensure the executive is appropriately pre-briefed. 

• Coordinate the flow of incoming and outgoing correspondence through the department's ministerial and executive correspondence system (MECS) in a complex and confidential work environment to ensure timelines, quality control and corporate identity requirements are met. 

• Assist with managing branch input into routine Cabinet and Parliament requests for briefs (including estimates), Possible Parliamentary Questions (PPQs), Questions on Notice (QoN) etc. and apply processes to monitor the timely progression of these documents. 

• Assist Senior Executive Support Officers and the Executive Officer in coordinating corporate reporting as required.

 • Assist the Senior Executive Support Officer (HR and Finance) in undertaking the preparation and processing of payments, accounts receivable invoices, credit card payments, corporate card reconciliations and other finance related activities.

• Provide support for branch staff as required, in relation to project activities and general administrative activities including (but not limited to) controlled self assessment audits, assisting with stocktakes and the maintenance of registers.

• Deliver travel management services for branch staff.

• Develop and maintain effective relationships with branch executive support and senior management, the Ministerial and Executive Correspondence Unit (MECU), the Office of the Deputy Director-General, and other executive support teams within the Environmental Services and Regulation division.

• Manage complex workloads, meet deadlines and commitments and complete tasks within a tight timeframe independently or within a team. 

• Foster a workplace culture that supports and promotes the interests of Aboriginal and Torres Strait Islander peoples and actively engage through our work to contribute to better outcomes for First Nations peoples of Australia.
