As Executive Assistant, you will provide professional, efficient and confidential secretarial support to the Executive Director, Strategic Services and Insights and the wider leadership team. You will have significant influence on the effective and efficient operation of the business division and the opportunity to take on new challenges and apply your initiative.
Strategic Services and Insights specialises in real estate transactions and other private sector investment proposals, project delivery and performance management.
Responsibilities of the role include:
• Provide confidential secretarial and executive support to the Executive Director in a fast-paced and sensitive working environment, including the management of the Executive Director's emails and diary, and overseeing the organisation of meetings and events.
• Consult and negotiate with executive management and other senior officers to resolve any matters as required by the Executive Director.
• Operate with a high level of autonomy, whilst providing an effective, efficient and comprehensive administrative support service.
• Organise travel arrangements including the planning of itineraries, travel bookings, accommodation and preparation of expense claims.
• Undertake financial administration functions using the departmental finance system (SAP) to process invoices, raise invoices and reconcile transactions against internal financial registers.
• Coordinate human resources management processes for the team including establishment management, appointments, separations, advertising, recruitment and staff induction.
• Assist with the preparation of presentations, document and reports utilising Microsoft Office products or other similar software.
• Encourage an environment in which high quality services are delivered by continually seeking improvements in administrative office systems and processes
