The Support Officer provides efficient and confidential administrative support to the Business Support Officer (BSO) and the regional office. The role is required to respond to enquiries from internal and external clients, undertake record management duties, provide support with financial and human resource management processing activities, and assist management with strategic and operational planning and implementation of processes, to ensure the effective operation of the region.

  • Comply with departmental administrative, human resource and financial standards for financial processing activities including payment timeframes and ensure all related activities are conducted in line with QAS policies and procedures and contribute to the development of contemporary, best practice Finance systems and processes, in accordance with QAS strategic priorities and business objectives.
  • Contribute to financial review and compliance activities as directed on a regular basis. Evaluate administrative systems and processes; recommend and implement business improvements that may ensure better system functionality and enhance service delivery including property maintenance management in consultation with the Business Support Officer and Manager Business Support.
  • Provide high quality, confidential administrative support services to the Business Support Officer and the regional office, including preparing a wide range of correspondence such as briefing notes, reports, account reconciliations, discrepancies and other documentation, ensuring compliance with the departmental style guide and relevant timeframes and liaising with internal/external stakeholders in a professional and timely manner.
  • Maintain a sound knowledge of current HR legislation, awards, certified agreements, directives, policies and procedures and provide accurate and timely advice on basic payroll matters.
  • Assist the Regional Office in the planning and coordination of business support activities including coordinating meetings and events and undertake relevant secretariat duties in line with relevant QAS policies and procedures.
  • Liaise with key internal and external stakeholders to ensure that any information required is provided in a timely and accurate manner.
  • Ensure the security and confidentiality of documentation is managed appropriately and regional electronic filing systems are operating effectively, manage the record keeping activities for the region including file destruction and archiving.
  • Other duties as directed that contribute to the overall performance of the Business Support Group.
  • Adhere to QAS and Queensland Public Service values at all times and escalate any identified issues to the relevant manager. Actively demonstrate and promote the QAS's approach of zero tolerance towards violence and commit to supporting those affected by domestic and family violence in accordance with QAS policies and mechanisms. Model and influence a workplace culture of gender equality, respectful relationships, diversity, inclusion, employee safety and support.
  • Fulfil the responsibilities of this role in accordance with Queensland Public Service and QAS values.
