Courts Building Coordinator

CSQ is made up of three divisions – Magistrates Court Services (MCS), Supreme District & Land Court Services (SDLCS), and Reform & Support Services (RSS). All CSQ staff play a vital role in delivering safer courts for all court users through provision of trauma-informed and culturally aware frontline services and/or advice.

This position is part of the Courts Building Management Team who have operational responsibility for the building management of the three high profile buildings that make up the Brisbane Courts Precinct (Brisbane Supreme and District Courts, Brisbane Magistrates Court and Brisbane Arrest Court). Whilst organisationally the team sits under the Magistrates Court Services, they work equally across all three of the CSQ divisions.

Key Responsibilities

  • Contract management - Manage the provision of contracted cleaning services for the Brisbane courts precinct. Manage contractor performance and provide regular reporting to senior managers. Monitoring of contract expenditure against budget and contract conditions. Maintain positive relationships and communication protocols with external and internal stakeholders.
  • Lease management - Undertake lease management responsibilities including negotiating and managing leases/subleases with cafes and businesses within the Brisbane courts precinct. Act as the initial point of contact through which relevant stakeholders can obtain information in relation to the status of active lease negotiations. Review proposed lease amendments and draft memorandums for approval from the appropriate authority. Deliver ongoing performance and compliance reporting following lease obligations.
  • Stakeholder management - Develop and maintain strong working relationships with building occupants, government departments, contractors and court users as required in the role. Provide technical advice, manage expectations and deliver required outcomes.
  • Project & maintenance coordination - assist in the coordination of building related projects and works and management of daily maintenance within the Brisbane courts precinct to deliver appropriate solutions on time, to standard and within budget.
  • Corporate governance, policy and procedures - Draft briefs and documents for an executive audience; retain and record all business decisions from
    conception/allocation to delivery of all assigned projects and activities ensuring consistency with relevant legislation, whole-of-government and departmental frameworks, policies and procedures.
  • Procurement and budget management - Procure goods, services and equipment relating to the Brisbane courts precinct. Assist in the management of both operational and capital budgets including the identification of any gaps or surpluses in allocated funds, identify and implement opportunities for budgetary savings and continuous improvement, including energy and environmental efficiencies. The successful applicant may have the opportunity to complete training under the Procurement Certification Program.
  • Workplace Health & Safety - Provide (or know where to source) advice to occupants on Workplace Health and Safety and Fire Safety, manage the Emergency Control Organisations, and coordinate activity across the precinct in compliance with the Workplace Health and Safety Act 2011 and Building Fire Safety Regulation 2008. The successful applicant may have the opportunity to complete a Certificate IV in Work Health and Safety and nationally accredited Fire Safety Advisor training.
