Key responsibilities include coordinating the compilation, editing and processing of executive, ministerial and other correspondence, briefing notes and questions on notice for the Corporate Division. This involves close consultation with internal and external stakeholders to ensure content accuracy, presentation standards and compliance with departmental and government requirements.

About the Team 

The Office of the Deputy Director-General (Corporate) is a fast-paced, high-performing team responsible for delivering executive support across the Corporate Division. In this team, you will manage ministerial and executive correspondence, briefing materials, and stakeholder engagement, ensuring accuracy, timeliness and alignment with departmental standards. With a focus on continuous improvement, the team also contributes to refining systems and processes that support effective communication and decision-making.

The role reviews correspondence to identify relevant issues and providing clear, consistent information to senior staff. Additionally, the Assistant Advisor supports the development and implementation of improved procedures, practices, systems and technologies that enhance the efficiency and effectiveness of correspondence workflows.

Role Responsibilities

  • Coordinate the compilation, editing and processing of executive, ministerial and other correspondence, briefing notes and questions on notice for Corporate Division in consultation with internal and external stakeholders.
  • Review responses to all ministerial and other correspondence to ensure accuracy of content, standard of presentation and compatibility with departmental and governmental requirements.
  • Undertake research and investigations on issues and provide consistent advice to senior management in relation to emerging and topical issues appearing in correspondence.
  • Support the development and implementation of changes to procedures, practices, systems and information technologies that improve the development and passage of correspondence. 

Skills & Experience

  • Demonstrated ability to manage high volumes of detailed work under pressure, particularly in preparing divisional correspondence and briefing materials.
  • Strong understanding of ministerial workflows, Cabinet processes, and departmental correspondence standards.
  • Proficient in DocTrak or similar systems for tracking and managing document approvals.
  • Skilled in coordinating and refining complex correspondence, with excellent grammar and written communication.
  • Confident in task analysis, prioritisation, enforcing timelines, and providing support to staff.
  • Proven initiative and decision-making, with ability to critically think and problem solve.
  • Effective stakeholder engagement across diverse personalities, with discretion in handling sensitive matters.
