Project Coordination Officer
Election Event Management; Brisbane CBD
Your opportunity
Working within the Election Event Management (EEM) unit, you will coordinate projects within the Program Administration team, designed to enable the ECQ to plan, prepare, deliver and evaluate Queensland electoral events.
Reporting to the Program Manager, you will collaborate actively with key stakeholders to promote a coordinated approach to electoral event preparation and governance and assist Project Leads and Program Managers to meet expectations through a centralised administration function.
To be successful in this role, you will be able to communicate and collaborate effectively with internal stakeholders across the ECQ at all levels, have experience corresponding with external stakeholders, preparing briefs and reports for senior executives and contributing to the development of process and procedural documentation.

Your contribution and accountabilities
• Contribute to a small team to deliver outcomes relevant to Program Administration functions which includes project management coordination and reporting across all ECQ business functions.
• Assist with the coordination of project planning across the ECQ for Queensland's major electoral events, enabling program and project leaders to utilise existing and new management tools.
• Assist with the development and implementation of project documentation such as plans, risk registers, schedules, issues and lessons registers, budget tracking, and closure reports.
• Contribute to the preparation of advice provided to senior executives on the overarching program of election projects for major election events, including approaches and decisions required for project planning, in line with legislative requirements.
• Support users of governance artefacts including by-election planning tools and event-related reporting tools and registers.
• Assist with the coordination of cost estimates for by-elections in collaboration with your team and the Manager, Election Operations and Chief Finance Officer.
• Contribute to the delivery of post-election evaluation programs, ensuring lessons learned are captured and considered in line with best practice change methodologies.
• Assist with the coordination of engagement with ECQ's key external stakeholders in line with approved programs and strategies.
• Prepare meeting briefs and other artefacts for presentation at governance forums, for use across the ECQ including the Electoral Commissioner and Assistant Electoral Commissioner.
• Contribute to team cohesiveness, wellbeing and capability promoting a positive environment, respectful of the views of others across the EEM team and broader ECQ workforce.
• Consistently display the Queensland Government values, ensuring that these are upheld and championed when representing ECQ.
