Translink is seeking a proactive and organised Administration Officer to support the Executive Director and the Commercial Partnerships team. This dynamic role involves providing high-level executive assistance, managing correspondence, coordinating meetings, and overseeing HR, finance, and travel administration. You’ll also act as Local System Administrator for timesheet management and help organise team events.

In the role of Administration Officer, you will provide executive support, operational business support, human resource, financial and document management administration to the Executive Director and the Commercial Partnerships team. 


Some of your responsibilities will include:
• Provide confidential, high-quality administrative support to the Executive Director and Commercial Partnerships team, including managing correspondence and communication.
• Manage and monitor the electronic diary and emails, coordinate meetings and appointments, and arrange associated meeting resources as necessary.
• Prepare and distribute documentation with minimal supervision and provide secretariat support including agendas and minutes.
• Coordinate financial, travel, and HR activities, and act as Local System Administrator (LSA) for timesheet management.
• Organise team events and meetings, and perform other tasks as reasonably directed.

Requirements of the role
• Efficiently prioritises tasks and projects in alignment with team goals and commitments, contributing to the development and achievement of team objectives.
• Analyses information critically to gain insight into issues and demonstrates courage in decision-making, even when under pressure.
• Clearly communicates with diverse stakeholders, tailoring messages to resonate and providing timely expertise to support others.

• Takes personal responsibility for health, safety, and wellbeing of self and others.
