As the Executive Support Officer, you will provide high-level administrative and executive support to the Executive Director, including managing calendars, meetings, travel, and documentation. You'll build strong relationships across the leadership team, act as a key liaison with internal stakeholders and contribute to policy coordination aligned with strategic priorities.
Some of the key responsibilities will include:
• Provide accurate, confidential and timely comprehensive support to the Executive Director, including document preparation and coordination, minute taking, various adhoc activities and preparation of materials for meetings.
• Maintain the Executive Directors diary and undertake daily administrative tasks including management of calendars, appointments, meeting coordination, travel itineraries, accommodation bookings, procurement, preparation of presentation packages and coordination of program reports, briefings and materials for the Executive Director and Directors.
• Build and maintain positive, collaborative and trusted relationships with Executive Director and Directors, being responsive to, and proactively seeking to understand their needs and communicating in a clear and concise manner.
• Maintain effective communication and relationships between the Executive Directors' offices and the offices of the General Manager, Deputy Director-General as well as all staff within the team.
• Liaise with committees and working groups concerned with developing, coordinating and implementing policies consistent with the division's business plan and the department's strategic direction.
Mandatory qualifications and conditions
• Due to this role having access to sensitive data, a criminal history check will be undertaken prior to appointment to the role.
Requirements of the role
• Demonstrated ability and skills to provide high quality and effective executive level secretarial and administrative support services including demonstrated capability in preparing government (or other) documentation including correspondence.
• Knowledge and experience in advanced Microsoft applications including Word, Excel, Teams, OneNote, and organisational databases and systems such as procurement, travel and document management tools.
• Ability to communicate in a clear, succinct and deliberate manner, adjusting the message as appropriate to the audience required, to resonate with different stakeholders.
• Demonstrated ability to work autonomously, manage priorities and deliver activities and work output in a timely manner, including applying a commonsense approach to prioritising and actioning critical requests and displaying the courage to make decisions when under pressure.
