We are looking for an Agency Support Officer to join the Policy an Assurance, Government Records (PAGR) branch in this busy and rewarding role.
The PAGR team is responsible for provision of standards, policies, guidelines and advice about government records management to approximately 500 public authorities in Queensland under the Public Records Act 2023. This includes requiring public records in all formats are created, kept and maintained in accordance with legislative requirements.
The primary purpose of the Agency Support Officer role is to provide administrative support to ensure the effective and efficient operation of the PAGR team.
As Agency Support Officer you will:
- Provide a high standard of administrative support services to PAGR, create and manage documentation associated with activity reporting for PAGR, assist in the review and preparation of memos, presentations, correspondence, procedures and updating of other material.
- Manage the Recordkeeping Queries inbox, triage incoming requests and ensure responses are provided within defined timeframes.
- Provide meeting support through the preparation of agendas and minutes and collation of papers and monitor actions arising from meetings.
- Assist the unit in planning and delivery of events (e.g. webinars, MS Teams, social media), including managing event registration, coordinating equipment and evaluating participants'
- Create and maintain registers and spreadsheets to validate information including ensuring the integrity of data, process information and prepare correspondence/associated reports for senior officers and required.
- Liaise with officers and individuals at all levels of QSA, the department, other government agencies, the private sector and community representatives.
- Fulfill all recordkeeping responsibilities in accordance with relevant policies, standards and guidelines.
- Work effectively and cooperatively with colleagues to promote a culture of support, accountability and achievement.
- Undertake other duties as directed by the Manages, PAGR and Director, PAGR.
