The Corporate Administration Officer role is one of three positions in a small, collaborative team. The role focuses on delivering exceptional administrative support to internal business units and frontline stakeholders, enabling them to serve clients effectively.
A typical day is varied and dynamic, involving tasks such as managing a shared inbox, booking travel, handling onboarding and offboarding duties, processing payments in SAP and via Corporate Card, processing the daily physical mail, maintaining fleet vehicles, coordinating building facilities requests, maintaining office supplies, and ensuring filing systems are up to date, and much more. With a focus on organisation, problem-solving, and teamwork, you’ll play a key role in ensuring smooth operations and high-quality service delivery.

The Office of the Public Guardian (OPG) is an independent statutory office established to protect the rights and interests of adults with impaired decisionmaking capacity, and children and young people in the child protection system and other visitable sites.

Key Responsibilities:
- Perform a broad range of general office duties including but not limited to; reception, management of internal and external correspondence (such as shared email inboxes); monitoring and ordering stationery/office supplies and MFD consumables, coordinating building management requests, asset management, supporting human resource functions related to onboarding and offboarding staff, fax and mail distribution.
- Book travel arrangements for staff based across Queensland using the Corporate Travel Management System.
- Maintain all aspects of government fleet cars in relation to bookings, logbook reporting, scheduled servicing, repairs and maintenance.
- Prepare various forms and documentation for processing, under direction using SAP (such as reimbursements, travel allowance claims and invoices).
- Maintain an efficient and up-to-date physical and electronic filing and retrieval system for the office, including file creation, file maintenance, archiving, maintenance of office databases and data entry.
- Comply with administrative processes, policies and procedures to ensure the delivery of quality services to relevant clients and stakeholders.
- Participate productively and collaboratively as a member of a team in delivering support and services to business areas with a commitment to continuous improvement.
The following are not a mandatory requirement but would be regarded favourably:
- Current or previous experience in a diverse and busy administration role.
- Proficient in Word, Excel, Outlook and Teams.
Mandatory role conditions:
It is a mandatory requirement for the occupant of this position to hold an unrestricted driver's licence. Officers are required to drive government vehicles as part of the role's requirements (i.e. servicing and repairs), from time to time. Shortlisted applicants must provide evidence of meeting this requirement before progressing further in the selection process.
It is a mandatory requirement for the occupant of this position to work at least five days per fortnight during standard business hours, from 9:00am to 5:00pm. These core business hours align with the operational requirements of providing administrative services to the business.
