Principal Correspondence Officer

The Principal Correspondence Officer plays a key role in contributing to the day-to-day operations and priorities of ECU, ensuring the effective coordination of executive correspondence and briefing notes. The role provides high-level advice and support across the Office of the Director-General (ODG) and the broader department in relation to executive governance documentation, ensuring that timeframes, protocols and quality standards are consistently met.

The position contributes to the implementation and continuous improvement of operational processes within ECU and works collaboratively with stakeholders across the department to support effective correspondence practices. The Principal Correspondence Officer also provides guidance and support to team members, while escalating complex issues and contributing to reporting and performance monitoring.

As the Principal Correspondence Officer, you will:
• Assist the Manager with the day-to-day coordination and workflow of executive correspondence and briefing notes, ensuring priorities are managed and deadlines are achieved.
• Provide high-level quality assurance, editing and advice on Ministerial and Executive documentation, including complex or sensitive matters, while supporting and guiding team members in the preparation and refinement of their work.
• Act as the primary escalation point for correspondence issues, resolving complex, urgent or contentious matters with sound judgement.
• Liaise with senior stakeholders and their offices across the department to negotiate timeframes and ensure requirements are met.
• Act as a conduit between ECU and senior stakeholders by engaging directly to provide advice, facilitate communication, and deliver training and guidance to support consistent understanding of ECU's requirements and processes.
• Support the development and continuous improvement of correspondence systems, processes, policies and guidance material.
• Provide leadership, coaching and support to team members, fostering a collaborative, high-performing and outcomes-focused team environment.
• Positively contribute to the ODG team environment including commitment and contribution to continuous improvement, a collaborative culture and a team that accomplishes organisational objectives.
• Promote a safe, respectful and inclusive workplace that is free from bullying, discrimination and harassment.

What you need for this role:
• Role model Individual Contributor leadership behaviours as outlined in the Leadership competencies for Queensland.
• Demonstrated ability to provide operational leadership, including coordinating workflows, supporting team performance and delivering high-quality, client-focused correspondence services
• Strong analytical, research and problem-solving skills, with the ability to resolve complex or sensitive correspondence issues and exercise sound judgement
• Highly developed interpersonal, communication and consultative skills, including the ability to influence stakeholders, negotiate outcomes and build effective working relationships across all levels of the department
• Advanced written and editorial skills, with the ability to review, analyse and prepare high-quality correspondence, briefs and reports on complex and potentially contentious matters
• Proven ability to manage competing priorities and deliver outcomes within tight timeframes, while maintaining accuracy and adherence to established processes and standards
• Ability to build and sustain positive working relationships, actively contribute to a collaborative team environment, and provide guidance and support to others
• Demonstrate how you can support our commitment to workplace safety, equity, diversity, respect and inclusion.

Qualifications
There are no mandatory qualifications required for this role. However previous experience in a similar role would be highly regarded.
