The Project Officer supports the Director and management team by coordinating business activities, including administration, HR, finance reporting, and project support. This role requires strong communication, organisation, and stakeholder engagement skills to ensure smooth operations across the business unit. Key responsibilities include managing diaries, emails, travel, financial updates, meetings, procurement, and business projects. You’ll analyse financial data, prepare reports, advise on workflow and project delivery, build strong stakeholder relationships, maintain accurate records, and identify process improvements. The Role
The Project Officer is responsible for coordinating and providing business support to the Director and their management team by coordinating the provision of administration, human resource, finance reporting and other activities as required. You will have excellent communication, project administration, diary and inbox management, and stakeholder relationship skills with the ability to liaise, consult and negotiate across all areas of the business unit to provide relevant and timely information.
Key Accountabilities
• Provide effective administrative support for the operations of the business unit such as human resource, financial and operational service support, including correspondence management. Other duties include maintaining central email accounts and diary management, acting as secretariat for meetings, booking travel, and communicating financial reporting updates.
• Utilise information technology and financial systems to monitor, investigate and analyse financial data; subsequently implementing the necessary measures to ensure compliance and general ledger integrity.
• Provide advice to the Director, management team, and other regional project officers regarding workflow management, project delivery status and service delivery issues across the business unit and South Region workforce.
• Manage a variety of concurrent procurement and other business-related projects by exercising a high degree of judgement, in order to meet operational and/or business deadlines.
• Collate data and provide accurate input to the preparation of reports and correspondence.
• Establish and maintain professional networks with internal and external stakeholders by keeping an open and effective line of communication.
• Develop and maintain appropriate project management and reporting systems and identify opportunities which will add value to the business needs.
• Perform accurate document and record management activities, including hard copy and electronic file management.
About You
• There are no mandatory requirements for this role however, experience in the use of MECS, Aurion, SAP, or any other information system reporting tools would be highly regarded.
• Checks to ascertain criminal history, declaration of interests, previous discipline history and other due diligence checks, will be undertaken as required
• Flexible work location arrangements will be considered for this opportunity to facilitate an adaptive and agile workforce. For example: the successful candidate may work from a regional or Brisbane-based location.
