As an Executive Support Officer you will:

  • Manage executive diaries and coordinate documents and meeting papers to a high standard, ensuring they are accurate, fit for purpose and delivered within agreed timeframes.
  • Provide meeting support by helping draft agendas, recording actions and decisions, and tracking outstanding items on behalf of the CIO.
  • Monitor and manage executive and shared mailboxes, triaging and allocating correspondence appropriately.
  • Register correspondence in tracking systems such as MinCor and maintain accurate records.
  • Prepare written content that is complete, accurate and aligned with required style guides, writing protocols and departmental standards.
  • Handle confidential and sensitive information in accordance with policy and security requirements.
  • Build and maintain effective working relationships with Information Services Leadership Team, senior executives and their support staff across the department, providing timely and appropriate advice when required.
  • Exercise sound judgement and initiative by identifying issues early, proposing solutions and supporting continuous improvement of administrative processes.
  • Provide administrative support to the Office of the CIO, including coordination of tasks, logistics and general office functions.
  • Undertake additional duties as required to support operational needs and priorities of the Office of the CIO.

Role specific/technical skills

  • Ability to provide high quality advice, assistance, and confidential executive support to the CIO and Manager.
  • A strong service focus, have excellent communication skills, be highly motivated and focused on tracking and delivering on outcomes.
  • Prioritises and completes work on multiple tasks simultaneously.
  • Performs well in a fast-paced environment with frequent interruptions and changes in priorities.
  • Completes workload within established timeframes and adjusts priorities quickly as circumstances dictate.
  • Works independently and follows through on assignments with minimal direction.
  • Maintains an optimistic outlook and fosters a workplace culture where all individuals share a personal responsibility for promoting the physical and psychological health and safety of others.
