The purpose of the Executive Services Officer is to provide an efficient, professional, and confidential support service to the Director and Management Team in the Transport Analysis Unit.
Some of your responsibilities will include:
- Prioritisation of appointment diaries, arrange meetings, conference, and travel bookings. Manage and monitor associated preparation for such appointments and functions. Monitor requests for the Director's attention and ensure regular opportunities to progress and respond to these.
- Coordination and prioritisation of information requests and relay promptly to subject matter experts for the preparation of responses, ensuring deadlines are achieved and high-quality standards and protocols are maintained.
- Coordination and review correspondence and communication for briefing notes, responses, advice notes, presentations, speeches, newsletters, and event run sheets, in accordance with government and departmental policies.
- Monitoring of systems and processes to ensure the team meets deadlines for HR related activities including capability uplift and training. Manage responses and negotiate changes as necessary.
- Act as a communication link and develop, maintain, and foster collaborative and productive professional relationships with a network of key stakeholders internally and externally including representatives from the Leadership Team, the offices of the Executive Director, General Manager, Deputy Director-General, and other key stakeholders.

- Due to this role having access to sensitive data, a criminal history check will be undertaken prior to appointment to the role.
Requirements of the role
- Demonstrated effective written, oral, and interpersonal communication skills, including the ability to clearly and concisely analyse and express ideas and issues.
- Ability to organise work within agreed timeframes and with minimum supervision.
- Proven ability in building and maintaining effective working relationships with internal and external stakeholders.
Highly Desirable Attributes
- Experience in providing professional and proactive high-level support and advice to a Senior Officer (Director level or higher)
