About the Role
As the Executive Services Officer, your role encompasses the following key responsibilities:
- Providing top-notch, confidential administrative and executive support to Directors and teams in the unit,
- Acting as a main administrative point of contact for the unit, handling inquiries by either responding to them directly or redirecting them as necessary.
- Coordinating meetings and booking events and travel for Directors and teams, while also offering secretariat support by preparing meeting agendas and minutes.
- Assisting in the preparation of routine correspondence, briefs, agendas, and minutes.
- Managing the records management systems and assisting with the flow of correspondence into and out of the unit, including following up on actions.
- Possessing intermediate skills in MS Office and demonstrating a willingness to learn new software and processes.
- Exhibiting the ability to multitask, work swiftly and accurately, even in an unsupervised setting.
- Displaying punctuality, motivation, and reliability in all aspects of your work.
- Having a proactive approach to think ahead and diligently follow through on assigned duties.
- Assisting with financial and HR related activities (including onboarding of new staff members) as required.
