About the role
Fixed term temporary full time opportunity to Provide comprehensive administrative support to the Building, Engineering & Maintenance Services (BEMS) Department within Community and Oral Health & Mental Health. Maintain a high-quality administrative service which supports the district's commitments to the principles of patient focused care and quality management.
About you
Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values:
- Provide high quality senior administration support to the Manager, Facility Maintenance Coordinators and Maintenance Planner and act as the escalation pathway between the administration and management team, stakeholders, and contractors etc.
- Manage the day-to-day activities of the department's administration team that includes, but is not limited to, the investigation, follow-up and resolution of administration challenges and issues of the team, supervision, mentoring and rostering of general administrative staff in compliment with the organisation's development of administration guidelines/procedures.
- Proactively seek quality improvement opportunities for activities performed across the department, and where able to; implement, measure, and report on processes to which the desired outcome will be to advance services supplied by BEMS COH & MH in the goal of achieving optimal patient care and health service outcomes.
- Utilise demonstrated knowledge and expertise in the department to aid in the organisational development of the team to promote structures and processes that align with Best Practice. This will be achieved through proactively seeking opportunities for quality improvement and completing quality activities across all levels and employment streams of staff within the BEMS Department.
- Coordinate and maintain an effective administrative and record management filing system along with development and auditing of the BEMS electronic and paper-based Filing Structure pertaining to BEMS business, such as and not limited to work orders, service reports, invoicing, Purchase Orders etc.
