Your Opportunity
As the Administrative Officer you will:
Contribute to the effective and efficient administrative management of the school by providing relevant and timely administrative support to the Principal and Business Manager. You will work within existing guidelines to provide basic resolution of problems by reference to established procedure, consulting the Principal or Business Manager for matters that are more complex or non-routine.
The Administrative Officer reports to the Principal, Business Manager or nominated delegate.
Your Responsibilities
As the Administrative Officer, your responsibilities will include, but are not limited to:
- Provide efficient, friendly administrative support to all staff, students, and families.
- Answer phones and manage front counter duties, including reception (telephone and in-person enquiries), scheduling appointments, handling correspondence and general administrative duties. Maintain school records such as incident reports, student admissions, enrolments, and departures. Process incoming and outgoing mail and emails. Once approved, coordinate student transport for sports events, excursions, and other school activities.
- Complete data entry tasks including, but not limited to, attendance and absences, unexplained absence SMS notifications, and late arrival or early departure slips.
- Assist with organising school maintenance and safety inspections as directed by the Principal or Business Manager. Support the operation and management of school hire schemes, and arrange bookings for community use of school facilities. Conduct stock takes of school equipment and assets.
- Prepare minutes of meetings, policy documents, reports, forms, newsletters, prospectuses, memorandums, examination papers, class notes, and the school's Annual Report. Draft and check correspondence, with guidance from the Principal or Business Manager for non-routine matters.
- Communicate with internal and external stakeholders—including school and departmental staff, parents, students, and community members—by providing information and advice in line with school policies and Principal directives. Demonstrate empathy, understanding, and support.
- Administer student medication and maintain accurate records.
- Attend to students in the sick bay and provide basic first aid as needed.
- Interpret departmental and school policies and guidelines to ensure compliance with legislative and procedural requirements.
Desirable Skills
Desirable skills for this role include:
- One School / One Portal experience is preferred but not mandatory
- Ability to work within a team environment
- High level of communication and word processing skills is a must
- Able to multi-task and manage time effectively
- Ability to work independently and take initiative
- Ability to work in a fast-paced and often busy environment
