About the Role 

As the Administration Officer, you will play a key role in supporting the financial and facilities operations of the school. You will bring strong experience with school finance systems, particularly OneSchool, and demonstrate excellent organisation, time management, and problem-solving skills. Responsibilities include managing accounts payable and receivable, student accounts, debt collection, procurement, and financial reporting. You will also assist with contractor coordination, maintenance scheduling, and asset management. In collaboration with the Business Manager, you will support tuckshop operations, supervise grounds and cleaning staff, and contribute to continuous improvement in processes related to finance, facilities, and school resource management. 

Your Responsibilities 

As the Administration Officer, your opportunities and responsibilities will include, but are not limited to:  

  • Completing financial tasks in accordance with departmental policy and procedures including
    o Banking duties 
    o Accounts receivable and payable processing
    o Managing student accounts and debt collection processes
    o Asset management
  • Provide financial reports to cost centre owners.
  • Undertake procurement of consumables and assets.
  • Assist Business Manager with the day to day supervision of financial activities and tuckshop including staff and operations.
  • Liaising with and scheduling external contractors.
  • Scheduling and managing maintenance activities.
  • Implementing and monitoring process and policy for the issue of school keys to staff, hirers and community users.
  • Maintenance of buildings and grounds, and procurement of furniture and fittings. Management of Work Area Access Permits (WAAP) for all contractors on school grounds. Assist in identifying and implementing process improvement opportunities.
  • Identify maintenance requirements in accordance with Maintenance Assessment Report and school needs.
  • Assist the Business Manager with the day to day supervision and management of grounds and cleaning staff by providing support, sharing learning and demonstrating personal integrity.
