About the Team
The Integrated Child and Youth Mental Health Service (CYMHS) provides complex secondary and tertiary level health care. CYMHS offers specialised mental health services for families with children and young people (birth to 18 years) who experience severe and complex mental health problems, and where their needs cannot be met by other services.
About the Role
- Please note that this is a relieving position and may require travel between CYMHS North Team (Pine Rivers, postcode 4500) to CYMHS West (Inala, postcode 4077).
- Coordinate and provide effective administrative and reception support to vulnerable children and families accessing the service, as well as to the clinical staff.
- Provide administrative support for the management of referrals, appointments and audits using Smart Referrals and SharePoint.
- Work collaboratively and supportively with other administration and reception staff to support the operations of the child and youth mental health service and the children and families accessing the services
- Prepare correspondence, briefs, submissions and reports
- Coordinate and maintain the calendars of the clinical staff including all room and vehicle bookings.
- Ensure the smooth functioning of the unit on a day-to-day basis and work autonomously in the absence of the team leader.
- Register, maintain and prepare data into the mental health database (CIMHA) and maintain a high level of knowledge of CIMHA to give support and advice to members of the team. Accurately maintain and cleanse the CIMHA data to ensure currency and quality and support clinical staff to adhere to data entry guidelines.
- Provide secretariat support for various meetings, including the preparation and disbursement of relevant documents and arranging attendees, venues, equipment, stationery and catering as required.
- Produce reports from a variety of information systems such as CIMHA, ESM, financial and HR Systems within the required timeframes.
- Liaise and communicate with clinicians in the administrative functions of managing clients under the Mental Health Act 2016. Perform administrative requirements for the Mental Health Act 2016 within the legislative timeframes and guidelines.
