The Executive Support Officer provides high-level, confidential executive and administrative support to the Chief Dental Officer. This role is responsible for delivering efficient, client-focused services across financial management, human resources, correspondence, and general administration to support the operations of the Office of the Chief Dental Officer.

What you'll do
- Adhere to defined service quality standards, health and safety policies and procedures relating to the work being undertaken to ensure high quality, safe services and workplaces.
- Coordinate and manage the Chief Dental Officer's activities including diary and email management, meetings, travel, expenses claims, registrations/licences
- Using discretion, autonomously redirect and respond to matters on behalf of the Chief Dental Officer within defined boundaries
- Act as the first point of contact and primary point of resolution for all business services matters within the Office
- Coordinate and manage all official correspondence requests including Director-General and Ministerial requests in line with established departmental guidelines and ensure timely responses
- Coordinate financial, human resource, procurement and contract management activities, prepare reports and provide definitive advice on these matters to senior staff to assist decision-making
- Develop, monitor, analyse and report on the allocated budget
- Manage and coordinate business support functions for the Office including property and facility requirements, telecommunications, mandatory training/OH&S, travel, catering, equipment
- Manage and maintain accurate records and financial registers including correspondence and official files
- Actively develop and contribute to the improvement of business processes and systems that improves the functioning of the Office and the Division
- Provide secretariat services as required
- Fulfil the responsibilities of this role in accordance with Queensland Public Sector values as outlined above
- Comply with and utilise contemporary human resource practices and policies including workplace health and safety, ethical behaviour, equal employment opportunity, anti-discrimination and Queensland Health's Code of Conduct
About you
- Demonstrated experience in providing high level executive/secretarial and administration support.
- High level of communication (written and verbal) and interpersonal skills to deal effectively with sensitive issues and people at all levels.
- Able to work autonomously and as a team member to prioritise work and achieve outcomes.
- Demonstrated ability to prepare financial and human resource management reports to assist decision-making, including the ability to utilise relevant software.
Please note:
This is a part-time position working two fixed days per week – Monday and Tuesday. While Queensland Health supports flexible work arrangements, this role is not suitable for full remote work.
