Who We Are:

Ripley Valley State Secondary College is the newest secondary school in the greater Ipswich region opening in January 2020. 

In 2022, our secondary college caters for students in years 7 to 10, growing one year level each year until our first year 12 students graduate in 2024.

The Executive Services Officer provides high‑level executive, administrative, and operational support to the Principal and Executive Leadership Team.

The role ensures coordinated executive processes, workforce operations, communications, event management, and system development to support effective school leadership and operations.

This position requires discretion, professionalism, initiative, and the ability to manage multiple priorities while working collaboratively with internal and external stakeholders.

Responsibilities include:

  • Executive & Leadership Support
  • Preparing agendas and minutes for Executive and Leadership Team meetings
  • Tracking and actioning decisions and follow‑ups
  • Coordinating meetings, calendars, and room bookings
  • Implementing executive decisions relating to staff leave, professional development, VSRs, transport, supervision adjustments, and school calendar updates

Workforce Coordination:

  • Supporting the management of staff absences (planned and emergent) in collaboration with Deputy Principals
  • Coordinating staff supervision arrangements
  • Managing staff leave applications and StaffBook data entry

Communications & Correspondence:

  • Managing the generic Principal email inbox
  • Drafting and preparing Principal correspondence, including official letters and responses
  • Coordinating whole‑school communications, including bulk emails, Daymap messages, SMS notifications, and critical incident communications
  • Supporting digital signage and external communications as required

Events & School Operations:

  • Coordinating or supporting major school events such as Parent-Teacher Interviews, awards ceremonies, immunisation programs, ANZAC and Remembrance services, and student investitures
  • Attending significant school events to support organisation and logistics

Recruitment, Finance & Systems:

  • Supporting recruitment processes for Executive Team appointments
  • Coordinating professional development and leadership event bookings
  • Processing purchase orders and overseeing third‑party hire agreements
  • Developing and maintaining executive templates, procedures, and administrative systems
  • Providing research, data analysis, and project support to the Principal and Executive Team

About You:

  • A high level of professionalism, discretion, and confidentiality
  • Strong organisational and time‑management skills
  • The ability to work autonomously and manage competing priorities
  • Excellent written and verbal communication skills
  • High digital capability across school‑based and administrative systems
  • Strong stakeholder‑engagement and relationship‑building skills
  • A proactive, flexible, and solutions‑focused approach

Experience in an executive support, school administration, or complex organisational environment will be highly regarded.
