Brisbane Bayside State College is seeking an experienced, highly organised and customer-focused Administration Officer to join our administration team, to perform Enrolments and Accounts Receivable functions.

This is an opportunity to make a valued contribution to the college community through a role that combines administrative and financial responsibilities with meaningful interaction with students, families and staff.

To be successful in this role, you'll have excellent attention to detail, sound judgement and the ability to manage competing priorities while maintaining a professional, approachable and welcoming manner.

The administration team plays a critical role in ensuring the efficient day-to-day operation of the college and in providing responsive, professional support to students, parents, carers and staff.

Your opportunity:

As the Administration Officer (Enrolments and Accounts Receivable) you will provide high-quality administrative and financial support to the college, with a particular focus on student enrolments and accounts receivable processes.

You will be responsible for delivering efficient and accurate administrative services, maintaining student and financial records, and providing a high standard of customer service to internal and external stakeholders. This role requires strong organisational skills, attention to detail, sound judgement and the ability to work effectively in a busy school environment.

Responsibilities:

Your responsibilities will include, but are not limited to:

  • process student enrolment applications and associated documentation in accordance with departmental policies and school procedures
  • maintain accurate student records and ensure enrolment information is entered and updated in relevant departmental systems
  • provide timely and professional advice and assistance to parents, carers, students, staff and community members regarding enrolment and administrative matters
  • undertake accounts receivable functions, including preparing invoices, receipting payments, issuing statements and monitoring outstanding accounts
  • follow up overdue accounts in accordance with departmental policies, procedures and school processes
  • assist with financial administration, reconciliations and recordkeeping to support the effective operation of the school
  • maintain confidentiality and ensure compliance with relevant legislation, policies, procedures and standards
  • contribute positively to a collaborative team environment and support school priorities and operational requirements.

About you:

The ideal applicant will demonstrate:

  • experience in administration, enrolments and/or accounts receivable functions
  • strong organisational skills and the ability to manage competing priorities
  • high attention to detail and accuracy in data entry, financial processing and recordkeeping
  • well-developed communication and interpersonal skills, with a strong customer service focus
  • the ability to work both independently and as part of a team
  • sound judgement, discretion and a commitment to confidentiality
  • the ability to use administrative and financial systems effectively, including Microsoft Office applications
  • experience using Microsoft Office and OneSchool Finance, or the ability to quickly learn
