The Administration Officer (DSIU) will -
- Provide secretarial and administrative support to the OQO including monitoring, prioritising, actioning incoming correspondence, emails and reports, answering phone calls.
- Develop and maintain administrative procedures, databases and systems to support the team's workflows.
- Manage group mailboxes.
- Maintain efficient administrative record management processes and systems, prioritising workload effectively.
- Prepare information and documentation for loading onto the Office website and intranet.
- Liaise effectively with teams within the Office and external stakeholders.
- Contribute to the effective operation of OQO's reception including greeting visitors, directing inquiries and accepting deliveries.
- Support collection and reporting of statistics, support projects and arrangements for meetings and events.
- Help prepare for officers' visits across Queensland for inspections, including liaising with external contacts to arrange visits and preparing materials for these visits, organise travel and accommodation.
- Undertake research and enquiries as directed to help team members conducting inspections or reviews.
- Effectively organise meetings/events as required including the typing and distribution of meeting schedules, agendas and secretariat duties in a timely manner. Providing administrative support for recruitment activities.
- Assist with other operational tasks as required.
