The Queensland Parliamentary Service is seeking an experienced and professional Executive Support Officer to provide high-level administrative and executive support to the Director, Property and Facilities Services.

This dynamic role contributes to divisional planning, reporting, and governance processes, as well as stakeholder engagement and the coordination of events and communications. The position also supports the management of Parliament's collections, including exhibition coordination and preservation activities.

The successful applicant will demonstrate sound judgement, professionalism, and discretion, with the ability to work effectively in a fast-paced environment and liaise with diverse internal and external stakeholders.

Key responsibilities:

  • Provide high-level executive support, including preparing briefs, reports, correspondence, and presentations
  • Coordinate divisional planning, priorities, deadlines, and reporting requirements
  • Support governance processes, including meetings, agendas, minutes, action tracking, and records management
  • Deliver project coordination and administrative support across the division
  • Assist with conservation and heritage documentation, registers, and reporting
  • Support management of Parliament's collections, including exhibition and public engagement activities
  • Coordinate events, functions, site visits, and stakeholder engagements
  • Assist with internal communications and materials
  • Liaise with Members' offices, stakeholders, contractors, and consultants

What we are looking for:

  • Experience providing high-level executive and administrative support in a complex environment
  • Strong skills in preparing briefs, correspondence, and professional documentation
  • Proven project coordination and organisational skills
  • Well-developed communication and stakeholder engagement abilities
  • High attention to detail, sound judgement, and discretion with confidential information
  • Experience with collection management systems (e.g. Vernon) is desirable
  • Relevant qualifications in administration or project management are desirable
