About the role
As Executive Legal Secretary, you will play a key role in supporting the Office of the Official Solicitor by delivering high-level secretarial expertise and helping ensure timely legal advice. You will also contribute to team leadership under the guidance of the Legal Administrative Support Manager.
This is a permanent opportunity, based in our Brisbane CBD location.
About you
This role delivers high-level secretarial support across legal teams, ensuring accurate transcription, effective correspondence handling, and seamless schedule coordination. It also facilitates stakeholder engagement, meeting logistics, and system support to maintain smooth legal operations.
The following attributes are essential to your success in this role:
- Deliver executive secretarial support to legal teams, including transcription and dictation services
- Engage with internal and external contacts across all levels, manage issues, and provide updates as needed
- Oversee file and document management, including drafting, tracking, and organising legal communications
- Maintain and monitor appointment schedules including coordinating travel arrangements
- Handle telephone enquiries, ensuring they are efficiently routed to the relevant team or individual
- Schedule and manage meetings and events, with responsibility for recording minutes as needed
- Assist in the coordination of relevant information systems (e.g. Affinity) and software e.g. Microsoft Office and Content Manager
