What you will do

In the Senior Project Officer (Invigilation) role, you will oversee the QCAA invigilation program including the management and coordination of all aspects of the examination invigilation process. This will include:

• Coordinating and managing the recruitment and deployment of invigilators for examination sessions, including assigning invigilators based on availability and expertise, ensuring they are briefed on responsibilities and protocols, and maintaining communication channels with invigilators and schools.
• Preparing reports, submissions, briefings and correspondence as needed for senior officers, management, internal and external stakeholders.
• Identifying risks and issues and developing mitigation strategies to manage or resolve issues as pertaining to project, logistics or IT solutions.
• Managing critical project information such as milestones and expenditure to ensure project data is up to date at all times within provided systems.
• Developing, maintaining critical relationships with partners, stakeholders and service providers for the purpose of achieving and sustaining high level outcomes.
• Promote an effective working culture by capturing and sharing knowledge and supporting colleagues to develop a sense of collaboration among team members.

Reporting relationships

This role reports to the Manager, Program Workforce Unit. Although no roles directly to this role casual employees may report to this role during event times throughout the year.

To be successful in this role you will have demonstrated analytical, conceptual, and problem-solving skills and an ability to coordinate multiple tasks within agreed priorities, timeframes, and accountabilities. Experience in a project environment, including scheduling, risk management, reporting, and an ability to coordinate the delivery of work packages would be advantageous.
The preferred candidate will have knowledge of appropriate project management techniques, methodologies, and tools (preferably Agile or Prince2Agile).
