About the role
- This position performs a range of advanced administrative functions to facilitate provision of consistent and high-quality services within the pharmacy department and contribute to delivery of departmental objectives and organisational goals.
- In accordance with the Health Practitioners and Dental Officers (Queensland Health) Award, the RBWH Director of Pharmacy (“DOP”) operates at an executive management level and has significant managerial influence. The RBWH DOP strategically and operationally manages a large health practitioner and auxiliary workforce that provides a major complex service over multiple sites and models of care. The RBWH DOP is recognised as a having a major leading influence on the development of profession-specific or multi-disciplinary allied health clinical practice and service models on a state-wide basis. The RBWH DOP also holds accountability for compliance with the National Safety and Quality Health Service (NSQHS) Medication Safety Standard.
This Executive Support Officer role is required to perform high level, professional, and confidential administrative and executive support to the RBWH DOP, including the management and coordination of their daily workload priorities in a demanding and changing environment, alongside secretariat duties to the RBWH Medication Safety Subcommittee (NSQHS Standard 4) and other ad hoc duties. This role will also carry out supervision and management of the RBWH pharmacy administration team to relieve the Senior Administration Officer as required.
About you
Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values:
- In line with established departmental priorities or according to emergent issues, co-ordinate and manage the workload priorities of the Director of Pharmacy (and Assistant Directors as required) through diary/correspondence management; tracking and prioritisation of projects or tasks; and coordination of management meetings, including minutes, agendas and follow up of action items;
- Within level of authority, display a high level of analysis, accuracy, and attention to detail to research or collect information, prepare quality written material and assist in preparing briefs, papers, or operational documents whilst taking professional responsibility for high quality, well-presented work;
- Exercise discretion and apply specialist knowledge of department and hospital activities to manage communications for the pharmacy department, including:
- Autonomous resolution of and problem solving for emergent issues within scope and appropriate escalation of issues to the management team;
- Employing high level communication and interpersonal skills to enable effective collaboration and exercise of tact and diplomacy in both written and verbal communications;
- Liaison with internal and external stakeholders at all levels of seniority on behalf of the DOP including state-wide pharmacy governance bodies; senior Metro North leaders; universities; and others;
- Monitoring and appropriate distribution of correspondence and documents; and
- Dissemination of information about pharmacy department operations and services including drafting of departmental memorandums and other documents;
