Role Details
- Preparing and coordinating responses and managing requests for information from the Department of the Premier and Cabinet, Minister for Health and Ambulance Services and Director-General, Queensland Health within set timeframes. This will include but is not limited to Questions on Notice, Estimates hearings, Election Commitments, and Possible Parliamentary Questions.
- Preparing and coordinating Health Service Chief Executive correspondence.
- Managing and prioritising workflow allocation, preparation and monitoring of correspondence, briefings, submissions, and other documentation in keeping with government and organisational initiatives, policies, and guidelines.
- Ensuring all correspondence, including patient and corporate information, is managed confidentiality and in compliance with relevant information standards, policies, and procedures.
- Undertaking quality assurance activities to ensure correspondence is prepared to the highest standards and responses include appropriate language and tone, are free from errors, and address all issues raised in the incoming correspondence.
- Undertaking research and providing advice/briefs/reports on topics as requested by the Health Service Chief Executive, Executive Directors, or Manager, Office of the Health Service Chief Executive.
- Establishing and maintaining effective relationships with colleagues across the Hospital and Health Service to ensure high quality, seamless, timely and efficient correspondence services are delivered.
- Liaising and communicating effectively with external stakeholders, including the Office of the Director-General and Office of the Minister for Health and Ambulance Services.
- Developing and implementing training and resource materials for use within the Hospital and Health Service in relation to preparation of correspondence and documentation.
- Maintaining a register of official HHS correspondence and proactively tracking correspondence requests and activities to ensure timeframes are met. Preparing and analysing routine and ad hoc reports to improve service visibility and maintain high standards of performance.
