Your Opportunity
The Executive Officer provides high-level, confidential and proactive executive and administrative support to the Electoral Commissioner and Assistant Electoral Commissioner, and secretarial support to the ECQ’s Senior Management Team, Audit and Risk Committee, and other meetings of strategic importance.
The Executive Assistant is a direct report to the role, and it supervises other temporary staff as required during peak periods of activity, including during the conduct of major election events.

Your Contribution
• Provide advice, briefings and high-level support to the Commissioner identifying urgent or contentious issues requiring immediate attention.
• Provide effective time-management practices for the Commissioner including coordinating diary appointments, setting up high-level meetings, managing and prioritising correspondence and phone calls from members of parliament, other chief executives, senior executives, other government and external organisations.
• Prepare agendas and take minutes for all Senior Management Team / Audit and Risk Committee meetings using established protocols and practices.
• Research, coordinate and/or prepare complex correspondence, memoranda and briefings on a wide range of subjects including confidential and sensitive matters (ministerial correspondence, general briefing notes, questions on notice, possible parliamentary questions) and on a range of organisational issues.
• Develop positive and collaborative working relationships within the ECQ's organisational structure, Senior Management Team members, and representatives from external organisations. 
• Oversee the management of travel requirements, including flights, accommodation, and car hire of all ECQ staff through the Queensland Government's travel portal.
• Supervise and support team members to ensure that functions operate efficiently and effectively.
• Develop, monitor and review systems in partnership with the Senior Management Team to ensure the smooth workflow in the Commissioner's office, with an emphasis on organisational consistency and reduction of duplicated effort in administrative processes and associated advice.
• Manage ECQ's complaint framework, including policies and procedures, along with enquiries made in accordance with that framework and the related relationships with agencies such as the Ombudsman.
• Oversee the monthly reconciliation of the Commissioner's and Assistant Commissioner's corporate cards.
• Contribute to team cohesiveness, wellbeing and capability through participation in establishing a positive environment, respectful of the views of others across the ECQ workforce.
• Consistently display the ECQ and Queensland Government values, ensuring that these are upheld at all levels of the organisation.
