As part of the Executive Correspondence Team, Office of the Director-General, you will support the Director General, the Office of the Minister and all divisions of our agency with ministerial and executive correspondence services.
The Senior Correspondence Officer position is crucial within the Executive Correspondence Team and:
• Provides high-level support and strategic operational advice to ensure effective governance, operational performance and timely action of ministerial and executive documentation within our department.
• Involves collaboration across the agency's multiple departments and their divisions and is responsible for managing the workflow of ministerial and executive correspondence and overseeing a document tracking and management system to enhance the department's service quality.
What you will be doing:
• Provide leadership within the Executive Correspondence Team, staying outcomes-focused and establishing frameworks, procedures and standards for reviewing, preparing, and managing ministerial and executive correspondence and briefing materials. • Foster teamwork by actively seeking and providing feedback, resolving issues, and collaborating with divisional contacts and departmental officers.
• Review and/or prepare ministerial and executive documents to ensure quality assurance and compliance with departmental standards and style-guide, including adherence to performance timeframes.
• Prepare various written materials, including submissions, reports, and system documentation.
• Provide high-level support and advice to departmental officers, especially highlevel users and senior staff members, on using the correspondence management system.
• Offer specialist advice, training, and continuous improvement strategies regarding ministerial and executive correspondence.
• Employ effective time management and organisational skills to handle multiple tasks efficiently, including coordinating and prioritising work across the team and the department.
• Coordinate and prepare reports to aid the department in achieving service standards and ensure on-time delivery of documents.
• Develop and maintain business processes aligned with system capabilities, including implementing process and data integrity audit regimes.
• Serve as one of the team's departmental contacts for correspondence systemrelated issues, collaborating with internal IT partners and in the absence of the Manager, external vendors during system upgrades and testing.
• Facilitate training initiatives to enhance system compliance and competency and writing capability in relation to form, grammar and style, across the department.
Please note that due to the recent Machinery of Government change, this department is now the Department of Housing and Public Works.
