As an Executive Legal Secretary, you will provide high quality and timely executive legal secretarial and administrative support to the Assistant Crown Solicitor and Government Insurance and Risk Team. You will also supervise the team's other legal secretaries to ensure that quality services are provided, and resources are effectively utilised within the team.
Your Key Responsibilities:
- As an Executive Legal Secretary, you will provide secretarial and administrative support to the Assistant Crown Solicitor (ACS) and other lawyers within the legal team, including:
- Provide high-level secretarial and administrative support to the Assistant Crown Solicitor and legal team.
- Format complex legal documents using Microsoft Word, PowerPoint, and PDF tools.
- Prepare routine correspondence, and legal documentation with accuracy.
- Monitoring and managing the ACS work including diary management, meetings, agendas, minutes, diaries, billing and reporting.
- Maintain and update information systems including Excel and VisualFiles.
- Liaise with the Practice Manager to ensure effective implementation of new procedures or practices within the team.
- Prepare and review reports, ensuring accuracy and timely submission.
- Organise travel and accommodation arrangements for legal staff.
- Maintain filing systems, bring-ups, and document retrieval processes.
- Support billing, time recording, and compliance with financial procedures to client requirements.
- Liaise with internal and external stakeholders.
- Supervise and coordinate work across the legal secretarial team, ensuring service standards are met.
- Provide training, performance feedback, and support recruitment and induction of new staff.
- Monitor and manage staff leave balances and address related issues.
- Contribute to continuous improvement initiatives, working groups, and change implementation across Crown Law.
