Economic Development Queensland (EDQ)'s vision is to make Queensland a great place to live by helping to facilitate housing supply and industrial and economic development in the State.
As Executive Support Officer, you will provide effective, accurate and efficient general, executive, project and corporate administrative support services to the Chief Infrastructure and Planning Officer (CIPO). You may also provide support to the broader team at the direction of the CIPO. In addition to any Infrastructure and Planning specific tasks, you will administratively support the corporate functions of human resources, recruitment, procurement, contract management, finance, travel coordination, facilities and ICT for the team to enable service delivery outcomes.
Key Responsibilities include:
• Providing executive administration support, including inbox and diary management
• Assisting in arranging meetings, conferences and appointments • Providing meeting support, including equipment and facilities support for a broad range of business meetings
• Registering, tracking and filing all incoming and outgoing correspondence to the team
• Assist in the preparation of documents and draft responses to correspondence for consideration
• Maintaining documentation and efficient records management, filing and information retrieval systems
• Becoming the subject matter expert for TRIM requirements
• Managing one or multiple team email accounts
• Participation in procurement and contract management processes in relation to agreements, products and/or services
• Reconciling senior management corporate credit card expenditure, raise purchase orders, process and pay invoices and assist with financial reporting
• Providing HR administrative support, including the onboarding of new team members
• Providing project administration coordination and support
• Managing travel bookings and expense claims
• Managing specific administration process relevant to the business unit
• Maintaining knowledge of appropriate ICT system/s usage for each corporate function
• Actively participating in the team environment promoting a positive culture
• Working collaboratively across the organisation as part of a executive/business support network.
To be successful you will have:
- Experience supporting executive/s in managing multiple demands
- Well-developed skills in Microsoft Office
- An understanding of record management, human resources and finance systems
- High level interpersonal and written communication skills
- Proven competence in prioritising tasks to achieve deadlines
- Demonstrated ability to take initiative in decision making and show judgement about when to escalate issues
- Ability to effectively operate with a high degree of autonomy and as part of a team
- Ability to remain composed and flexibly approach changing expectations
- Application of an enthusiastic positive customer focused approach to work.
