Operations Support Officer

As Operations Support Officer in the Communications, Culture and Engagement unit you will support the team to deliver high-quality services and initiatives that meet identified strategic priorities. We're a team driven to understand and enhance employee, partner and health consumer experiences to create meaningful communications and engagement informed by research, insights, evaluation and feedback. You will provide efficient administrative, operational and logistical events support, using digital tools and productivity platforms to deliver on the details: HR workflows, financial processing, logistics, event coordination, record-keeping and correspondence management.

About the Team
The Communications, Culture and Engagement team brings together internal and external experience and engagement functions to deliver a high-quality, integrated and consistent stakeholder experience at CHQ. The division is responsible for communications and media, digital engagement and co-design, organisational culture and leadership development, stakeholder engagement and partnerships, and the CHQ Arts in Health program.
About the Role
- Deliver the daily administrative functions of the division, including monitoring email accounts, answering calls, preparing HR and recruitment paperwork, processing orders, invoices and payments, scheduling meetings, managing team calendars, maintaining office supplies, organising maintenance requests, auditing equipment, and maintaining records for auditing and reporting requirements.
- Support the Director and team leadership with operational planning, preparation of correspondence and briefing documents, financial reconciliation, scheduling and the collation of operational performance and activity data.
- Coordinate committees or event functions and deliver secretariat support such as preparing agendas, compiling and distributing minutes, record-keeping, and organising invitations, catering and schedules.
- Support team strategic projects and research activities including scheduling milestones, organising workshops or project sessions, setting up activities, communicating with participants, tracking budgets, organising governance paperwork, preparing documents, managing collateral and collating report content.
- Assist with the delivery of internal and external events, including coordinating logistics, catering, equipment hire, rostering and general event management duties.
- Supervise divisional productivity and project management platforms to support team members to use systems efficiently and effectively; create workflow processes and user guides, plot reports, and maintain governance criteria.
- Develop and maintain strong working relationships with other CHQ divisions and key stakeholders to deliver team activities and services in a timely manner.
