As the Administration Officer, you will provide high-level administrative support across multiple functional areas, facilitating the smooth operation of Biomedical Technology Services.

What you'll do 

  • Provide high-quality, confidential administrative support across a range of business functions including but not limited to - processing of claims, staff travel booking, purchasing, accounts payable and receivable, inventory control, fleet and asset management, records management, preparing and distributing routine reports and general office duties.
  • Accurately manage data entry, reconciliation, compliance checking, documentation matching, and resolution of anomalies using internal systems (e.g., BTS Net Apps [BNA], AIMS, QIS) and Queensland Health's finance systems (e.g., S/4HANA) in a timely manner, ensuring confidentiality and compliance with relevant policies and standards.
  • Communicate effectively with internal and external stakeholders, responding to enquiries and complaints in a timely, professional manner, and escalating or redirecting requests as appropriate.
  • Coordinate the staging of meetings, functions, conferences and training activities. Includes generating agendas; collation and distribution of papers; recording, writing and distribution of minutes; and organising resources and catering.

About you

We are searching for someone with: 

  • Ability to undertake a range of administrative duties while balancing work priorities and meeting deadlines with minimal supervision.
  • Ability to work effectively both independently and as part of a multidisciplinary team in a changing workplace.
  • Competence, efficiency and attention to detail in the use of computers and contemporary software packages, including keyboard skills, word processing, spreadsheets and databases.
  • Ability to communicate and liaise effectively with internal and external clients, including the ability to respond effectively to enquiries either in person, by telephone, or through written correspondence.
